If you would like to bring an open poster to the workshop contact the poster chair at least one week before the workshop. He will provide you with instructions for the preparation of an open poster.

IEW 2010 AUTHOR INSTRUCTIONS FOR INVITED POSTER PRESENTATIONS

 

Congratulations on the recent acceptance of your presentation to the invited poster session of the 2010 International ESD Workshop. As the Poster Chairman, I want to inform you about the various guidelines and deadlines that are necessary for a successful Workshop. If for any reason you are not able to meet these requirements or will not be able to attend the Workshop please let me know as soon as possible.

 

The abstracts submitted to the Workshop were of very high quality and the committee wanted to make sure that all worthy submissions would have a chance to have their work presented at the Workshop. The Technical Committee decided to choose a number of presentations that they felt were best suited to the poster session format. As communicated to you earlier, your abstract was one of the submissions chosen for the Invited Poster Session. The term “Invited Poster Session” was selected to clearly show that the included submissions were fully refereed and equal in importance to the oral presentations.  This is to clearly distinguish them from the un-refereed or open posters that attendees may also bring and present at the Workshop. The Invited Poster presentation slides will be included along with the oral presentation slides in the CD-ROM and the hardcopy handout to be given to all attendees.

 

Each presenting poster author must provide each of the following;

  1. A paper print-out of your poster presentation – for mounting on the poster board (maximum 20 pages)
  2. A PDF version of your poster presentation (color, 1 slide per page, maximum 24 slides) for inclusion in the CD-ROM.
  3. A PDF version of your poster presentation (black & white, 2 slides per page, maximum 24 slides/12 pages) for inclusion in the handout booklet.
  4. A PowerPoint presentation summary of your poster (maximum of 4 slides) for 5 minute podium presentation at the Workshop.

 

In order to facilitate the production of these materials, we have adopted the following set of milestones.

Poster Instructions

 

Poster slide set is limited to 20 pages and should contain:

1. Slide 1 - Title of the poster, authors and affiliations, including phone numbers, emails, etc.

2. Slide 2 - Purpose of study

3. Slide 3 - Outline of study

4. Last slide - Conclusion of study

 

Please review the viewgraph guidelines for Oral Presentations for IEW on the ESDA/IEW web site, since they include useful tips that will help with a poster presentation. We also request the following.

 

• Do not include logos or names of your employer or university on any of the viewgraphs, except for the title viewgraph.

• Please strive for simplicity and clarity in your posters.

 

The presenter of a poster has to take the print-out of the poster to the workshop. There will be the opportunity to mount to the poster boards with the print-outs in the morning before the poster session.

 

Presentation Package for the CD-ROM and Hand-out

 

Your presentation package for the CD-ROM and hand-out should include:

1. Slide 1 - Title of the poster, authors and affiliations, including phone numbers, emails, etc.

2. Slide 2 - Bio of the presenter only.

3. Slide 3 - 200 word abstract/summary of the presentation

4. Slide 4 - Purpose of study

5. Slide 5 - Outline of study

6. Core presentation

7. Conclusion of study 

8. References from study 

9. Acknowledgements -optional

Note that the slides used in your actual poster need not exactly match what is on the CD-ROM and the hand-out. For example there is no requirement to include a speaker biography or a list of references in the viewgraphs on your poster. However, you should provide these in the full pdf document for the CD-ROM and hardcopy handout. Acknowledgements are optional.

 

Please follow the guidelines for preparing the pdf files on the IEW web site. Supply a color pdf for the CD-ROM in addition to the black and white version, if appropriate.

 

For the handout booklet you should use your powerpoint version to convert to pdf.  When converting your PowerPoint presentation to PDF for inclusion in the handout booklet, please be aware that color text and graphics may not be suitable for reprint in the black & white format of the Workshop booklet.

 

Please see the instructions below on handouts;

  • Set your printout format in pdf to letter.  The format is two slides per page.
  • Your printout file of the handout must be dark content on light background whether you use dark or light background for presentation. Please check that no “hidden lines” of e.g. text boxes suddenly appear unintentionally on the white background. An easy way to check how the presentation will print is to view the  slides in PowerPoint while selecting View => Color/Gray Scale=> Gray  Scale
  • If some slides do not show up clearly it means they will also  not print well on paper
  •  Please modify any  problem slides so that they look good both when
     projected (in Color) and when printed (B&W).
  •  One way to modify them is to draw a square over the faded area(s),
     move to background, and color the square gray. DRAW=> ORDER=> "SEND to
     Back" and color it gray.
  • Please recheck the problem slides to make sure they  look good when viewed with the Gray Scale.

Short Presentation

Each poster session will be preceded by a round of 5 minute oral presentations given by the poster authors. For this purpose prepare a maximum of 4 slides including the title page. These short presentations are considered to be a ‘teaser’ for further discussion at the poster. Please, just highlight your main ideas and don’t try to provide a detailed technical discussion within 5 minutes.
