IEW 2010 AUTHOR INSTRUCTIONS FOR ORAL PRESENTATIONS

Each presenting author must provide the following;

  1. Your PowerPoint presentation (maximum 20 slides) for podium presentation at the Workshop.
  2. A PDF version of your presentation (color, 1 slide per page, maximum 24 slides) for inclusion in the CD-ROM)
  3. A PDF version of your presentation (black & white, 2 slides per page, maximum 24 slides/12 pages) for inclusion in the handout booklet.

In the following table, you will find a short list of critical milestones for preparing your 2010 IEW presentation materials. In order to complete the job, we need your help in adhering strictly to these deadlines.

RULES FOR PREPARING THE IEW PRESENTATION MATERIALS

 

1. Creating your Power Point presentation

 

Your PowerPoint presentation must include:

(1) Slide 1 - Title of the presentation, all Authors and Affiliations, include phone numbers, email addresses, etc. Only this title slide may show author affiliation or company Logo.

(2) Slide 2 - Purpose of the Study.  

(3) Slide 3 - Outline of the Study. 

(4) Detail slides (i.e., body of your talk)

(5) Final slide – Conclusions

 

See the file “2010 IEW Electronic Presentation Guidelines.ppt” for important PowerPoint presentation formatting guidelines. You are required to follow these guidelines.

 

For planning the outline and number of slides for your presentation please be reminded that the duration of your talk is only 20 minutes. We recommend that you try for 10-14 slides. The maximum number permitted is 20. The format of this workshop focuses on discussion. There will be a 5 minute question and answer session directly following your 20 minute presentation. To be fair to the speakers who follow, it is very important to stay in your allotted time slot.

 

2. Creating the PDF version of your presentation for inclusion in the CD-ROM

 

Each attendee at the Workshop will be given a CD-ROM at registration. This CD-ROM will contain PDF files for each presentation at the Workshop. You should create this PDF file from your PowerPoint presentation. Note that there are three additional slides required in this PDF file, as compared to the final PowerPoint file. In addition, an optional Acknowledgements slide may be inserted after the Conclusions. This is the reason for allowing for a total of 24 slides.

 

Your PDF file for the CD-ROM must include:

(1) Slide 1 - Title of the presentation, all Authors and Affiliations, include phone numbers, email addresses, etc. Only this title slide may show author affiliation or company Logo.

(2) Slide 2.  BIO of the presenter only.

(3) Slide 3.  200 word abstract/summary of the presentation.

(4) Slide 4 - Purpose of the Study. 

(5) Slide 5 - Outline of the Study. 

(6) Detail slides (i.e., body of your talk)

(7) Next to last slide – Conclusions

(8) Final Slide. References

(9) Acknowledgements (optional)

Note – Include something with the word “cdrom” in the final filename

3. Creating the PDF version of your presentation for inclusion in the handout booklet

 

For the handout booklet you should use the powerpoint created back in step #1 and use this version to convert to PDF. Note you should also add the additional slides used to create the PDF for CD-ROM. This is the reason for allowing for a total of 24 slides. When converting your PowerPoint presentation to PDF for inclusion in the handout booklet, please be aware that color text and graphics may not be suitable for reprint in the black & white format of the Workshop booklet.

 

Please see the instructions below on handouts;

  • Set your printout format in pdf to letter.  The format is two slides per page.
  • Your printout file of the handout must be dark content on light background whether you use dark or light background for presentation. Please check that no “hidden lines” of e.g. text boxes suddenly appear unintentionally on the white background. An easy way to check how the presentation will print is to view the  slides in PowerPoint while selecting View => Color/Gray Scale=> Gray  Scale
  • If some slides do not show up clearly it means they will also  not print well on paper
  •  Please modify any  problem slides so that they look good both when
     projected (in Color) and when printed (B&W).
  •  One way to modify them is to draw a square over the faded area(s),
     move to background, and color the square gray. DRAW=> ORDER=> "SEND to
     Back" and color it gray.
  • Please recheck the problem slides to make sure they  look good when viewed with the Gray Scale. If okay, please send one file: the colored slides marked as *underscore presentation*  *and print*.
  • If it turns out that the converted slides do not look
    good in color, then please create two versions: Presentation in Color and  Printed in B&W.  Please identify each version as *underscore  presentation* and *underscore print*.

 

If you need additional help on the presentation instructions, please contact Lisa Pimpinella or myself.  We can help ensure that your Final Presentation submission conforms to the agreed guidelines.  As you see, our schedule for completion of the report is very tight.
